
馬上要迎來五一小長假了,節(jié)假日期間客戶發(fā)來郵件怎么辦?我們通常都會采用郵箱的自動回復(fù)功能,設(shè)置一封“萬能”應(yīng)答郵件來回復(fù)對方,既方便又不會顯得失禮。那么,在這封自動回復(fù)郵件當(dāng)中是否也存在一些“竅門”呢?新手業(yè)務(wù)員該如何撰寫郵件內(nèi)容呢?讓我們一起來看看吧。

一、 提前編撰,注明緊急聯(lián)系方式
尤其對于春節(jié)、清明節(jié)這類中國傳統(tǒng)節(jié)假日來說,非常需要設(shè)置一封自動回復(fù)郵件,因為這類中國節(jié)假日對于“老外”們來說仍然是工作日,不了解中國習(xí)俗的采購商很有可能不會避開這些日子。
自動回復(fù)郵件應(yīng)在假期前就撰寫并設(shè)置好,內(nèi)容可以包括解釋放假原因、假期開始和結(jié)束的具體時間、節(jié)日祝福等。比如:
Dear Sir or Madam,
This is an automatic receipt. I'm very sorry to inform you that our company has taken a holiday during the Spring Festival. The holiday time is from 6nd Feb to 20th Feb.
Your mail has been received and we will reply to you as soon as possible after the holiday. I wish you a good mood during the Chinese Spring Festival!
XXX(公司名稱)
開頭說明“這是一封自動回復(fù)郵件”,結(jié)尾表示“您的郵件已收悉,我們會在假期結(jié)束后盡快回復(fù)”——客戶關(guān)心的問題都已包含在內(nèi),顯得非常得體。
如果公司在節(jié)假日期間仍然有人值班,我們不妨在郵件中寫上值班員工的聯(lián)系方式以備緊急情況時聯(lián)系。我們可以說:
In the meantime, if you have urgent business, please contact Mr.Zhou at 1234567.
If you have any urgently problem or inquiry, please call 1234567.
If there's anything urgent in the mail, please send email to ABC@ABC.com.
Please call 1234567 or send email to ABC@ABC.com if there's an emergency.
二、 可以適當(dāng)活潑一點
節(jié)假日通常而言是愉快、輕松的,我們不妨把自動回復(fù)郵件寫得活潑一點,讓客戶能夠感受到人情味和公司的良好氛圍。比如下面這個例子:
Sorry! The Chinese New Year has come. We have a holiday from 20th February to 1st March, and you cannot contact me for the time being. If you have urgent business, please contact Mr.Zhou at 1234567.
Sorry for inconvenience to you. I will reply to your email immediately after the holiday. Many thanks! Wish you a happy New Year!
在這封郵件中應(yīng)有的內(nèi)容都有,但語氣較為活潑,不會帶給客戶“例行公事”的沉悶之感。

三、 節(jié)假日后及時回復(fù)客戶
既然在郵件中已經(jīng)申明了“會在假期結(jié)束后盡快回復(fù)”,我們就應(yīng)該說到做到,在假期結(jié)束后盡快投入工作。如果郵件確實過多難以在短時間內(nèi)回復(fù)完畢,我們也可以設(shè)置一封新的自動回復(fù)郵件來應(yīng)對客戶可能的催促:
Dear Sir or Madam,
We are making the best use of our time to reply the email which sent on holiday. It is expected to be finished in three working days. Please wait patiently.
Thank you for your letters and have a good time.
Automatic recovery from XXX(公司名稱)
要注意的是,這樣的自動回復(fù)郵件不要使用太久,否則會令客戶感到你在“敷衍”他或不愿意解決問題。最好的辦法還是提升自己的業(yè)務(wù)能力,盡快處理客戶的需求,讓每一位客戶都不必“久等”。
